By accessing or using this website, creating an account, purchasing a product or service, registering for a program, or otherwise interacting with our content (collectively, the “Services”), you agree to be bound by these Terms & Conditions (“Terms”). If you do not agree, do not use the website or Services.

2) Who May Use the Website

You represent that you are at least 18 years old (or the age of majority in your jurisdiction) and legally able to enter into a binding agreement. If you use the Services on behalf of an organization, you represent you have authority to bind that organization to these Terms.

3) Changes to These Terms

We may update these Terms from time to time. The “Effective Date” above reflects the latest version. Your continued use of the website after changes become effective constitutes acceptance of the updated Terms.

4) Coaching Disclaimer (No Medical, Mental Health, or Legal Advice)

Our Services provide education, coaching, and personal/professional development support. We are not providing medical, mental health, legal, accounting, or other regulated professional advice unless explicitly stated in writing.

You are responsible for your decisions, actions, and results. If you have a medical or mental health concern, consult a qualified professional.

5) User Responsibilities and Acceptable Use

You agree to use the website and Services lawfully and respectfully. You may not:

• Violate any law or regulation, or infringe others’ rights.
• Misrepresent your identity, affiliation, or intentions.
• Harass, threaten, abuse, defame, or discriminate against others.
• Upload or transmit malware, spyware, or harmful code.
• Attempt to gain unauthorized access to accounts, systems, or data.
• Scrape, crawl, or harvest data or content without our written permission.
• Interfere with website operation or security.
• Post or share content that is unlawful, obscene, hateful, or otherwise inappropriate.

We may suspend or terminate access for violations, without refund where permitted by law.

6) Accounts, Security, and Accuracy

If you create an account, you agree to provide accurate information and keep it current. You are responsible for maintaining the confidentiality of your login credentials and for all activity under your account. Notify us immediately of any unauthorized use.

7) Purchases, Payments, and Subscriptions

If you purchase products, programs, sessions, or subscriptions:

• You authorize us (and our payment processors) to charge your payment method for the amounts due, including applicable taxes.
• Subscription plans renew automatically unless canceled before the renewal date (where applicable).
• Prices, offerings, and features may change at any time, but changes will not apply retroactively to paid periods already started (unless required by law or clearly disclosed).

8) Refunds and Cancellation Policy

All sales are final unless otherwise stated below.

• Digital Products. Due to the nature of digital products (including downloadable guides, worksheets, and online materials), all digital purchases are non-refundable once access has been granted or the product has been downloaded.
• Coaching Sessions. Individual coaching sessions may be rescheduled or canceled with at least 24 hours notice. Cancellations made more than 24 hours in advance may be rescheduled at no charge. Cancellations made less than 24 hours in advance or missed sessions may be forfeited and are not eligible for refund or rescheduling.
• Programs, Courses, or Workshops. For multi-session programs, courses, or workshops, refund and cancellation terms will be stated on the specific program registration page. Unless otherwise stated:
• Refund requests must be made at least 7 days before the program start date.
• Once a program has begun, no refunds will be issued.
  

Exceptional Circumstances

In rare cases involving illness or emergencies, rescheduling or credit toward a future session may be offered at the discretion of the program provider.

9) Program Participation and Conduct

For 1:1 coaching, group coaching, communities, workshops, or events, you agree to:

• Participate respectfully and keep discussions constructive.
• Not disrupt sessions or harm the experience of others.
• Maintain confidentiality of other participants’ personal information shared in group settings.

We may remove participants from a program for misconduct. Refunds in these cases are at our discretion where permitted by law.

10) Community & Confidentiality Boundaries

Coaching and community spaces are not therapy and are not a substitute for licensed care. While we encourage respectful confidentiality, we cannot guarantee that other participants will maintain confidentiality. Please do not share sensitive information you would not want repeated.

11) Intellectual Property (Your License to Use Our Content)

All content on this website and in our Services — including text, worksheets, videos, graphics, methods, frameworks, trademarks, and materials — is owned by us or our licensors and protected by intellectual property laws.

We grant you a limited, personal, non-transferable, revocable license to access and use the content for your own non-commercial use. You may not:

• Copy, reproduce, distribute, sell, sublicense, or share our materials.
• Record sessions or redistribute recordings without written permission.
• Create derivative works, “mirror” our site, or republish our content.
• Remove copyright or proprietary notices.

12) User Content and Testimonials

If you submit content (comments, posts, reviews, testimonials, photos, or other materials), you have the rights to share it. You grant us a worldwide, royalty-free license to use, reproduce, display, and publish that content for business purposes (including marketing), unless you expressly revoke permission in writing where applicable.

13) Third-Party Links and Tools

Although, we will not share your contact with any third parties, we may link to third-party websites, tools, or resources. We are not responsible for their content, policies, or practices. Your use of third-party services is at your own risk and subject to their terms.

14) Privacy

Your use of the website is also governed by our Privacy Policy. By using the website, you consent to our collection and use of information as described there.

15) Disclaimers

THE WEBSITE AND SERVICES ARE PROVIDED “AS IS” AND “AS AVAILABLE.” We make no warranties, express or implied, including warranties of merchantability, fitness for a particular purpose, or non-infringement. We do not guarantee outcomes, earnings, health improvements, or specific results from coaching or educational materials.

16) Limitation of Liability

To the fullest extent permitted by law, Reflective Roots Institute and its owner will not be liable for any indirect, incidental, consequential, special, or punitive damages arising out of or related to your use of this website, its content, or any services, programs, coaching sessions, or digital products offered through the site.

This includes, but is not limited to, loss of profits, loss of data, loss of business opportunities, or other intangible losses. All services and materials provided through this website are educational and informational in nature. They are intended to support personal reflection and learning and are not a substitute for professional medical, mental health, or legal advice.

To the maximum extent permitted by law, our total liability for any claim related to the website or services will not exceed the amount you paid to us for services or products during the twelve (12) months prior to the event giving rise to the claim.

By using this website and participating in any services, you agree to this limitation of liability.

17) Indemnification

You agree to indemnify and hold harmless Reflective Roots Institute its owners, employees, contractors, and affiliates from any claims, liabilities, damages, losses, and expenses (including attorneys’ fees) arising out of your use of the website/Services, your violation of these Terms, or your infringement of any rights of another.

We may suspend or terminate your access to the website or Services at any time if we believe you have violated these Terms or if your conduct creates risk or legal exposure. Sections intended to survive termination (including intellectual property, disclaimers, limitation of liability, and indemnification) will survive.

19) Governing Law & Dispute Resolution

These Terms are governed by the laws of Minnesota/United States, without regard to conflict of laws rules. Any dispute will be brought in the courts located in Olmsted County, Minnesota, unless you and we agree to binding arbitration or another method in writing.
